Audit what already exists
List the figures, stands, bases, risers and signs available for the refresh. Record condition and missing fittings, and note where each item is stored. Separate a piece that merely needs cleaning from one that needs repair or replacement; an inventory gives the design team a realistic starting point.
For example, a seasonal change may reuse the existing figures while replacing only the outfits, signs and a few risers. Prepare the replacement pieces in a separate area, then remove the old presentation in a controlled sequence. Check that the new garments fit before the scheduled changeover.
Define the new story
Select the products and message for the next presentation before deciding which props to move. Work with the garments and merchandise that will actually be available on the changeover date. A drawing or quick photograph of a trial arrangement can reveal missing components before the store floor is disrupted.
Sequence the work
Plan removal, cleaning, assembly, dressing, placement and final checks in an order that leaves staff enough space to work. Identify who handles each step and where removed fixtures will go. Confirm any tools or replacement fixings in advance and keep each set of small components with its matching fixture.
A simple handover can include a photograph, a list of fixture locations and a note of missing parts. Keep the previous arrangement record until the team is confident the new one can be maintained.
Document the result
Photograph the approved arrangement from the main approaches and note the product references and fixture positions. Record unresolved issues and who will address them. A short handover helps staff restore a moved prop and provides a useful starting point for the next refresh, even when a future layout changes completely.
Build a short schedule backwards from the desired opening time. Allow for receiving merchandise, dressing forms, moving old fixtures, cleaning surfaces and checking the finished view. If one critical part is not available, identify a simpler fallback arrangement using the fixtures already on hand. A refresh does not need every element to change at once; a clear sequence helps staff keep the space organized while the work is underway.
On the changeover day, compare the delivered garments and the prepared fixture list with the plan. If an item is missing, adjust the layout before dressing begins and document the substitution for the staff responsible for the window.
Project checklist
- Count the complete figures, bases, supports, risers and signs available before planning the new arrangement.
- Identify missing or damaged parts and decide whether they require replacement or a different layout.
- Try the next outfits on the figures before the scheduled installation and note any dressing difficulties.
- Schedule removal, cleaning, assembly, dressing and inspection with a named owner for each activity.
- Reserve a location for fixtures removed from the floor and keep each set of fittings together.
- Photograph the completed arrangement and pass the product and fixture list to the team maintaining it.
