Describe the job

Explain where and how the fixture will be used, the merchandise it must present and any existing components it needs to connect to. Include a drawing or photographs when helpful, but identify which elements are requirements and which are examples. An attractive reference image may not communicate the dimensions or the function you need.

For example, a buyer requesting ten abstract figures can specify the intended clothing category, preferred pose and delivery location while leaving the exact finish open for discussion. The replies can then be compared against the same requirements. Ask each supplier to identify alternatives and the practical effect of any difference.

Separate required and preferred details

List quantity, preferred configuration, finish, required dimensions and intended delivery destination. Mark any dimension that is a firm limit and explain how it is measured. Where the choice remains open, invite the supplier to describe the available options rather than treating an illustrative catalogue image as an exact specification.

Request comparable responses

Ask each supplier to identify what is included, the proposed material and finish, actual measurements, packaging, estimated timing and any conditions or exclusions. Request clarification of sample and customization options where relevant. A quotation is a proposal: availability, final terms and the scope of an order require written confirmation.

A review table can include one row per requirement and columns for each response, unanswered questions and the decision. Keep a copy of the final clarification with the quotation.

Review before committing

Compare replies against the same checklist, including unresolved questions and the cost or practical effect of differences. Check the support, assembly method and documentation as well as the headline price. Preserve the agreed version of the specification and confirm any change in writing before an order is placed.

Include operational questions that can change the final choice. Who assembles the fixtures, what tools are needed, and where will unused parts be stored? Does the proposed packaging suit the destination’s receiving arrangements? Which answers are confirmed and which remain subject to a later decision? Asking these questions early gives each supplier the same context and helps the buyer understand differences between proposals.

If suppliers offer different alternatives, ask them to identify the practical differences in writing. This makes it easier to compare the proposed support, surface and included components against the original use case.

Project checklist

  • Describe the merchandise, location and intended use so the supplier can understand the display task.
  • State required quantities and mark hard dimensional limits separately from preferences or illustrative references.
  • Identify existing bases, fittings or accessories that the proposed configuration must work with.
  • Request a response stating the included components, materials, finish, dimensions and packaging.
  • Ask which timing, sample and customization details remain estimates or require further confirmation.
  • Compare replies against the same written brief and resolve exclusions before agreeing an order.
