Build a location inventory

Ask each location to record fixture type, internal reference, quantity, condition and storage location. Include bases, supports and removable parts when they affect usability. Distinguish a complete usable fixture from a partial set so a central total does not overstate what can actually be deployed.

For example, one store might report a damaged base while another has an unused complete figure. A central review can identify whether a transfer is practical, subject to checking compatibility and transport. If a new quotation is needed, provide the exact connection and destination rather than asking for a generic base.

Define the replenishment trigger

Agree how stores should report damaged, missing or insufficient fixtures and who reviews the request. Note the intended use and date needed, but do not promise availability or a delivery date before a supplier confirms it. Consolidating similar requests can make the specification easier to review without assuming every location has the same needs.

Confirm compatibility

Check the existing form, fitting and finish before requesting a replacement part. Photographs and connection measurements are particularly useful when records are incomplete. Ask the supplier to state whether the proposed part is compatible with the existing configuration and whether any additional hardware is required.

Use a shared status field such as requested, under review, quoted or received. Record the date and owner of the next action so an urgent need does not disappear in an email thread.

Track decisions and arrival

Record the quotation, approved configuration, destination and agreed shipping details. On arrival, compare the contents with the packing list and report discrepancies promptly through the agreed process. Update the location inventory after inspection so the next request starts from a reliable account of what is present.

For a group of stores, compare requests using the same definitions. A missing arm, a damaged base and a need for an additional complete figure should not all be recorded as one replacement request. Ask locations to attach a clear photograph and identify the existing fixture where possible. This gives the central team a better basis for checking local stock, asking for a quotation and scheduling the next action.

When stock moves between locations, record both the sending and receiving site. Check the condition and completeness at each end, and update the central inventory after the receiving team has inspected the set.

Project checklist

  • Count complete usable fixtures separately from partial sets at each location and record their condition.
  • Classify requests as additional fixtures, replacement components, repairs or transfers so each can be assessed correctly.
  • Collect photographs and connection measurements when a store requests a matching replacement part.
  • Check whether another location has a suitable spare before asking for a new quotation.
  • Record the requested destination, required date and current status without presenting unconfirmed timing as a commitment.
  • Inspect the received components, report discrepancies through the agreed process and update the location inventory.
